Return & Refund Policy
Thank you for shopping with DiamondBaseJP. Please read this Return & Refund Policy carefully before placing an order.
DiamondBaseJP sources and ships baseball gear from Japan. Because many items are sourced based on supplier availability, size, color, customer request, or customization status, we generally do not accept returns, exchanges, or cancellations for customer preference reasons.
1. All Sales Are Generally Final
All sales are generally final once an order has been confirmed, processed, sourced, customized, embroidered, or shipped.
We do not accept returns or exchanges for reasons such as:
- The item looks different than expected
- The design, color, fit, or feel is not what you imagined
- You ordered the wrong size
- You changed your mind after placing the order
- You no longer want the item
- The item does not match your personal preference
- The product is no longer needed
- The item was delayed due to customs, postal, or carrier conditions outside our control
Please review product descriptions, photos, size guides, embroidery information, and shipping details carefully before placing your order.
2. Returns Are Only Considered for DBJP Fulfillment Errors
We may review a return, replacement, or refund request only if the issue was caused by a clear fulfillment error by DiamondBaseJP.
Examples may include:
- We shipped the wrong product
- We shipped the wrong size
- We shipped the wrong color
- The item received is materially different from the item confirmed in your order due to our mistake
If you believe you received the wrong item due to a DBJP fulfillment error, please contact us within 7 days of delivery.
Submitting a request does not automatically guarantee a return, replacement, or refund. Each case will be reviewed based on the order details, product condition, and available evidence.
3. Items Not Eligible for Return or Exchange
The following items are not eligible for return or exchange unless the issue was caused by a confirmed DBJP fulfillment error:
- Embroidered items
- Customized items
- Special-order items
- Sourced-on-request items
- Items purchased through a custom invoice or Draft Order
- Items that have been used, worn, washed, altered, damaged, or removed from original packaging
- Items returned without prior approval from DiamondBaseJP
- Items refused at delivery or returned due to unpaid duties, taxes, customs fees, import charges, or incorrect address information
4. Embroidered and Customized Items
Embroidered and customized items are made or processed specifically for the customer. Once embroidery, customization, sourcing, or processing has started, the order cannot be cancelled, returned, exchanged, or refunded unless the issue was caused by a confirmed DBJP fulfillment error.
Please confirm all embroidery details carefully before payment, including text, spelling, thread color, font style, glove model, size, and color.
DiamondBaseJP is not responsible for customer-provided spelling errors, incorrect initials, incorrect names, wrong size selection, or changes of mind after embroidery or customization has started.
5. Special-Order and Sourced-on-Request Items
Some products may be sourced from Japan-based suppliers after your order or inquiry is confirmed. These items may not be part of regular on-hand inventory.
Once a special-order or sourced-on-request item has been processed or sourced, cancellation, return, exchange, or refund may not be possible unless the issue was caused by a confirmed DBJP fulfillment error.
6. U.S. Inquiry Orders
U.S. orders are currently handled by inquiry only while DiamondBaseJP tests DDP shipping with Japan Post and Zonos Prepay.
For U.S. inquiry orders, full payment may be required before sourcing, embroidery, DDP processing, duty prepayment, or shipment begins.
Once payment has been made and the order has entered sourcing, customization, DDP processing, or shipment preparation, cancellations, returns, exchanges, or refunds may not be possible unless the issue was caused by a confirmed DBJP fulfillment error.
Duties, taxes, import-related charges, DDP processing costs, Zonos-related fees, shipping costs, and handling adjustments may be non-refundable once processing has started.
7. Size and Fit
Customers are responsible for choosing the correct size before placing an order.
Japanese batting gloves may fit more snugly than some North American gloves. Please check our Size Guide before ordering.
We do not accept returns or exchanges because an item does not fit as expected, unless the wrong size was shipped due to a confirmed DBJP fulfillment error.
8. Product Photos, Colors, and Appearance
We make reasonable efforts to display product images and descriptions accurately. However, product colors, textures, and appearance may vary slightly due to lighting, screen settings, manufacturer image differences, or production variations.
Returns or exchanges are not accepted because the product color, design, texture, or appearance looks different than expected, unless the item received is materially different from the confirmed order due to a DBJP fulfillment error.
9. Damaged Packages or Carrier Issues
If your package arrives damaged, please contact us as soon as possible with photos of the package, shipping label, packaging materials, and item condition.
Damage caused by postal services, carriers, customs inspection, delivery handling, weather, or other events outside DiamondBaseJP’s control may need to be reviewed with the relevant carrier or postal service.
DiamondBaseJP will review each case and assist where possible, but we cannot guarantee a refund, replacement, or exchange for carrier-related damage unless required by applicable law or covered by the shipping method used.
10. Incorrect or Incomplete Address
Customers are responsible for providing a complete and accurate shipping address.
DiamondBaseJP is not responsible for packages that are delayed, returned, lost, or undeliverable due to incorrect or incomplete address information provided by the customer.
If a package is returned due to an incorrect address, failed delivery attempt, refusal, unpaid import charges, or customer-related issue, any reshipment may require additional shipping fees.
11. Refused Packages and Unpaid Import Charges
If a package is refused, abandoned, or returned because duties, taxes, customs fees, import charges, carrier fees, or other required charges were not paid by the customer, the order may not be eligible for refund.
Any original shipping cost, return shipping cost, import-related charges, processing fees, and non-recoverable costs may be deducted from any eligible refund, if a refund is approved.
Customized, embroidered, special-order, sourced-on-request, or U.S. inquiry orders may not be eligible for refund if the package is refused or returned due to customer-related reasons.
12. How to Report a DBJP Fulfillment Error
If you believe DiamondBaseJP shipped the wrong item, please contact us within 7 days of delivery.
Please include the following information:
- Your order number
- Your name and email address
- A clear description of the issue
- Photos of the item received
- Photos of the product tag, packaging, and shipping label
- A photo showing the item in unused condition
Please do not send any item back without written approval from DiamondBaseJP. Items returned without prior approval may not be accepted or refunded.
13. Approved Returns
If DiamondBaseJP approves a return due to a confirmed fulfillment error, we will provide return instructions.
The item must be unused, unworn, unwashed, undamaged, and returned in its original condition with original packaging where applicable.
Once the returned item is received and inspected, we will determine whether a replacement, refund, store credit, or other resolution is appropriate.
14. Refund Processing
If a refund is approved, it will be processed to the original payment method where possible.
Refund timing may vary depending on your payment provider, bank, card issuer, or Shopify payment processing timelines.
Shipping fees, duties, taxes, customs fees, import charges, DDP processing costs, handling fees, Zonos-related fees, and other non-recoverable charges may not be refundable unless the issue was caused by a confirmed DBJP fulfillment error.
